Which standards does the QMS platform Kvaltix support?
ISO 9001 (quality), ISO 14001 (environment) and ISO 45001 (occupational health and safety), individually or as an integrated management system. Modules such as documents, audits, actions and risks work across all three standards.
Do we need a full-time quality manager?
No. Reminders, approval workflows, acknowledgment records and indicators run automatically, so the system keeps running between audits. The platform is designed for small and medium-sized companies without a separate quality department.
How long does setup take?
The basic setup (organizational structure, users, import of existing documents) typically takes 1–2 weeks. Existing documents can be imported in bulk from Excel and ZIP archives.
Which languages does the platform support?
The interface of the QMS platform Kvaltix is available in English and German, and each user works in their own language. This website is also available in Slovenian.
Is the AI assistant mandatory?
No. AI features are a separate module that you can switch on or off for the whole organization; the change is recorded in the audit trail. The core platform works entirely without them, and the assistant only proposes — a person decides.
Where is our data stored?
Exclusively in the EU: the application and database run in Frankfurt (Germany), files are stored under EU jurisdiction. If you switch on the optional AI module, the texts you send to the assistant are processed by an AI provider in the USA.
How are backups handled?
The database is backed up every night, encrypted (AES-256-GCM) into separate storage in the EU, with 7 daily, 4 weekly and 12 monthly copies. A restore drill runs automatically twice a year.
Who can see and change what?
Access is set per module — no access, read or edit — and checked by the server on every request. Two-factor login (TOTP) is available and can be made mandatory for selected roles.
Does the legal register cover German and Austrian law?
You can record and assess legal requirements from any country in the register. Automatic detection of amendments is currently available for Slovenian legislation.
Can we export our data if we leave?
Yes, at any time. Documents, audits and KPI data can be exported in standard formats (PDF, Excel, ZIP) — no vendor lock-in. After the contract ends, data is kept for 90 days unless you request earlier deletion.
